RESPONSIBILITIES OF CHHS SOFTBALL BOOSTER CLUB OFFICERS
Since the booster club is self-administered, the daily operation of any club is the responsibility of its officers. The contribution of each officer is vital to the club’s success, but it is the President who is ultimately responsible for seeing that the club functions smoothly and properly.
The task of conducting the business of a booster club is usually too large for any one individual. A good president will learn to delegate some of her/his general duties to others. The effective delegation of tasks and responsibilities to other club members accomplishes at least three things:
1. It eliminates the possibility of having one person shouldering all the responsibilities.
2. It gives other members a sense of investment, value and involvement in their club.
3. It provides decision make powers as a whole.
GENERALLY, COMMITMENT INCREASES WITH INVOLVEMENT, SO TRUST YOUR MEMBERS TO SHARE IN THE ADMINISTRATION OF THE CLUB.
President
a. Keep Coach informed of ALL club business.
b. Preside over club meetings providing an agenda for each meeting.
c. Inform officers of pertinent policies/information.
d. Delegate authority within the club.
e. Promote fund-raising events.
f. Approve club’s budget and spending patterns.
g. Generate any needed adjustments to club guidelines.
h. Ensure club compliance with rules/regulations, and meet with the Coach regularly.
i. Train the next President. (President Elect if President is Senior parent)
j. Ensure completion of facility requests for all club activities.
k. Review all emails, websites, blogs, and posts of any kind on behalf of CHHS Softball for district, school and booster compliance BEFORE distribution.
Secretary
a. Record and circulate minutes of all meetings.
b. Maintain team players and parents information.
c. Handle all team correspondence.
d. Check booster email and respond regularly (daily).
e. Post all google docs.
Treasurer
a. Handle all account transactions.
b. Prepare, with the President, the annual budget. (September)
c. Maintain all appropriate records of financial activity. Be sure to keep all receipts.
d. Aid in any fund-raising activities.
e. Prepare PO’s and reimbursement requests.
f. Train the next Treasure. (Treasure Elect if Treasure is senior parent)
g. Forward account activity monthly to President and Coach.
Merchandise Coordinator
a. Work with club merchandise company for order forms.
b. Work with Treasure to acquire a PO for merchandise purchase.
c. Coordinate with Coach to get order forms to players.
d. Sort and distribute merchandise upon receipt of order.
e. Sell overstock merchandise at open gym, parent meetings, etc.
Banner Coordinator
a. Work with club banner distributor to order new banners and help with artwork.
b. Work with Treasurer to acquire a PO for new banners purchased.
c. Coordinate with player and purchasing company to acquire artwork.
d. Maintain banner spreadsheet.
e. Report to Treasurer banner purchase by each player.
f. Hang all banners according to Coaches request.
Concessions Coordinator
a. Maintain a clean and orderly concessions trailer to provide concessions for all home games.
b. Work with Treasurer to acquire PO’s for food and necessities purchases.
c. Help Sophomore team setup trailer for varsity games.
d. Coordinate parent and sophomore team participation.
e. Keep trailer stocked and ready for each home game.
f. Send out reminder text/emails to parents and players on days to work.
g. On down time have workers make 5 ice bags for trainer.
Officer Transition
We will begin the officer transition process sometime in the summer (June-July). This is so the newly elected officers have ample time to learn about the position, get some practical experience, and still be able to ask questions prior to beginning the following season in February.
